Faster Merchant Onboarding Does Not Have to Mean Less Control

There is a persistent assumption in financial services that faster onboarding must involve some compromise.

The logic seems straightforward: the more quickly a merchant is approved, the less time there is to carry out the identity, compliance and risk checks required to protect the payment provider.

In practice, the opposite can be true.

Slow onboarding is often not the result of more rigorous compliance. It is frequently caused by fragmented processes, incomplete applications, repeated data entry and manual reviews that could have been avoided.

A paper-heavy process can create the appearance of control while introducing its own risks.

Information may be entered inconsistently across different forms.

Documents may be missing, unclear or outdated. Errors may only be identified after the application has moved between sales, operations, compliance and underwriting teams. Each correction adds delay, but it does not necessarily improve the quality of the original process.

Digital onboarding offers a different model.

When compliance controls are embedded directly into the merchant journey, information can be checked as it is entered. Mandatory fields reduce incomplete applications. Automated validation identifies obvious errors. Uploaded identity documents can be compared against submitted information, while discrepancies are flagged before the application reaches final approval.

KYC, AML, PEP and beneficial-owner checks can also be integrated into the workflow. Rather than waiting until the end of the application to identify potential issues, payment providers can assess risk throughout the process.

This allows compliance and underwriting teams to concentrate on genuine exceptions instead of manually reviewing every routine application.

Our Beyond by RS2 case study, From Weeks to Hours: Transforming Merchant Onboarding with, shows how this approach can work in practice.

One Tier 1 European payments provider moved from a fragmented, manual onboarding model to a guided digital journey covering application submission, identity and document verification, regulatory screening, underwriting, digital signatures and activation.

Eligible merchants can now begin accepting payments in as little as one hour, compared with several weeks previously.

Crucially, this acceleration was not achieved by removing control.

The new process improved the quality and completeness of submitted applications, reduced correction cycles and embedded compliance checks throughout the onboarding journey.

Automated identity and document verification, bank-account validation, PEP screening and merchant risk assessment helped potential issues to be identified earlier.

The result was both faster onboarding and stronger operational discipline.

This distinction matters.

Regulated payment providers cannot choose between speed and compliance. They need both. Merchant expectations are increasingly shaped by digital experiences that are immediate and intuitive, while regulatory expectations continue to rise.

The answer is not to accelerate a weak manual process. It is to redesign the process so that compliance becomes part of the digital experience itself.

Done properly, automation does not weaken control. It makes control more consistent, more visible and easier to scale.

Faster merchant onboarding should therefore not be seen as a risk to compliance. With the right technology and operating model, it can be evidence that compliance has been designed more effectively.
